About the Agency
The Art Gallery of New South Wales (the Gallery) is a statutory body established under the Art Gallery of New South Wales Act 1980 and an executive agency under the Department of Planning and Environment. It is in The Domain adjacent to the Royal Botanical Gardens and the Central Business District, and attracts around 1.3 million visitors annually.
The Gallery holds significant collections of Indigenous, Australian and International art and presents a dynamic program of temporary exhibitions involving significant loans from Australian and international collections. The Gallery also manages the Brett Whiteley Studio in Surry Hills and has an off-site collection store. The Gallery employs up to 350 people on an annual basis and has a current effective full-time equivalent of around 200 staff. As the state’s leading institution for the visual arts, the Gallery plays a role in the cultural and intellectual life of both Sydney and Australia.
The Gallery is currently undergoing planning for its expansion. The Gallery’s expansion, known as the ‘Sydney Modern Project’ or ‘SMP’, involves the construction of a new building to the north of the existing Gallery building as well as some modifications to the existing building. The new building is planned for completion in 2021 to coincide with the 150th anniversary of the Gallery’s founding.

About the Role
This role provides a range of administrative support to the Chief Operating Officer (COO). The Executive Assistant is the first point of contact for all inquiries to the COO, and responsible for the coordination and preparation of correspondence, the management of the COO’s diary and overall administration support for the Division. The position holder maintains a high level of liaison to key internal and external people and coordinates events and presentations hosted by the COO.
What technical / soft skills you require
1. Demonstrated success in the provision of administrative and secretarial support to senior management or executive.
2. Demonstrated experience in dealing with a variety of internal and external stakeholders on confidential and sensitive issues with a high level of tact and discretion.
1. Discuss how you would manage competing demands from senior stakeholders or customers while undertaking a range of important tasks that require attention to detail and must be completed within tight timeframes. (maximum of 400 words)
2. Describe a situation where you have managed a highly sensitive or confidential project that required you to liaise with stakeholders to gather information and data. Explain your approach to gathering and managing confidential information whilst maintaining discretion regarding the project aims. (maximum of 400 words)
Please note: The role of Chief Operating Officer is vacant at present. A staff member is acting in the role until an ongoing appointment is made.
