This Federal Government Agency is seeking an experienced administrator to join their team for 12 months.

Our client is an independent statutory agency. Their role is to implement a nation wide scheme, which will support a better life for hundreds of thousands of Australians with a significant and permanent disability and their families and carers.

Your new role
The Business Support Officer will be responsible for logging, tracking and maintaining oversight over different work that agency staff are completing.
The Business Support Officer will also be responsible for a broad range of office administration and support duties including executive assistant support to all staff where appropriate. The position requires an eye for detail and an ability to thrive in a constantly changing environment.
The Business Support Officer will support Planners in their efforts to ensure that a participant is well informed about the planning process and has access to information required to enable them to exercise their desired level of choice and control.

As part of a team responsible for the smooth and efficient operation of the regional hub, the Business Support Officer will:

  • Interact with participants, families or carers to gather information regarding requests.

  • Provide administrative support to the Planner team.

  • Manage email and appointments / calendar system for multiple staff.

  • Undertake research & investigation options available in the local area and prepare associated reports & correspondence.

  • Coordinate appointments with the use of Agency office facilities and ensure these facilities are neat and appropriately prepared for each participant.

  • Complete interaction template using agreed naming conventions.

  • Provide information about mainstream/disability services as part of general enquiries to the office.

  • Undertake a range of data entry responsibilities.

  • Receive and record complaints and other feedback in the Agency data base.

  • Research best value for and assist with the procurement and purchasing of small plan components.

What you'll need to succeed
Skills and Personal Attributes

  • Ability to effectively communicate with stakeholders in potentially emotional situations (ie: resolve complaints, deescalate points of tension over the phone).

  • Ability to work as part of a virtual team.

  • Experience in data entry with a high level of accuracy and timeliness.

  • Experience in, receptionist duties, Executive Assistant duties, travel management and coordination of the use of office facilities.

  • Understands how to work collaboratively with a network to support the delivery of consistent, quality client service.

  • Oral and written communication skills with well-developed interpersonal skills. Ability to work with flexibility within a team and to communicate effectively with people at all levels to ensure the smooth, efficient and on time operation of the office.

  • Ability to respond to and prioritise competing and often urgent requests in a calm and efficient manner.

  • A high level of proficiency in Microsoft Office software specifically with Outlook, Excel, Word, and PowerPoint.
