Client Services Manager



Client Services Administrator


Our client is a boutique Financial Planning business that has been providing professional advice and support to its clients for over 10 years. They specialise in the areas of superannuation and direct equity investments.


They now require the services of an experienced Client Services Manager to join their professional team based in North Adelaide.


This is an exciting role with a number of diverse responsibilities including:


• Assisting with client enquires
• Generating client correspondence
• Providing assistance to advisers
• Maintaining an understanding of the financial planning and investments industry
• Maintaining client portfolios
• Supporting floats and new issue activities
• Information handling


Key Responsibilities


Client enquires


• Act as first point of contact for clients
• Screen calls, e-mails and faxes for administrative matters
• Deal with clients in a timely and receptive manner
• Supply accurate ad timely information to clients
• Develop relationships and maintain communication where appropriate


Generate client correspondence


• Manage creation and distribution of client correspondence on behalf of advisers
• Update and amend portfolio records of clients following transactions, including corporate actions
• Monitor and follow-up on correspondence or requirements of client
• Prepare statutory declarations and off-market transfers in relation to client share transactions


Backup of adviser duties


• Provide accurate price information to clients in the absence of brokers (licence permitting)
• Advise and act on settlement of broker trades daily
• Give prices, take orders, and execute orders (as authorised)
• Advise share registries of appropriate information for select clients
• Foster professional relationships with clients
• Monitor failed trades and ensure they are followed up
• Manage advisers’ diaries


Industry awareness


• Understand the financial planning industry
• Maintain an awareness of ASX and corporate rules
• Maintain a working knowledge of financial services products and services
• Understand back office processes and systems


Maintain client portfolios


• Update and amend portfolio records of clients following corporate actions
• Lodge and confirm client applications for investments, including managed funds, debentures, bank bills, money market, fixed interest and unlisted products in relevant locations
• Record and send issue sponsored statements for conversion to CHESS
• Facilitate all correspondence for roll-over of clients superannuation and establishment of superannuation funds
• Maintain portfolios for discretionary take-ups
• Prepare client portfolio reports
• Facilitate settlements for clients, responding accurately to client instructions


Floats, new issues and takeovers


• Produce and distribute float information and forward to clients
• Collate return applications on behalf of advisers
• Ensure applications are coded correctly with broker stamp and adviser code
• Confirm funding instructions are clear, cheque(s) are enclosed, and amounts correspond
• Process float applications


Information handling


• Receive, dispatch and/or distribute mail/faxes
• Collate and dispatch documents
• Open advisers’ mail. Action cheques, share certificates, debentures and general correspondence
• Forward research and other reports to clients


Technical skills


• Microsoft application knowledge (Word, Excel, Outlook and Powerpoint)
• Database maintenance
• Equities pricing and other in-house systems
• Use of back office systems
• Basic keyboard skills
• Fulfilment of relevant legislative requirements for authorised representatives is required


Previous Experience / Qualifications


• Administration qualifications/experience advantageous
• Diploma of Financial Planning or equivalent beneficial
• Fulfilment of relevant legislative requirements for authorised representatives is required
• Experience in the financial service industry advantageous
